Position Description:  The Library Administrative Assistant / IT Assistant is a dynamic role designed to support the day-to-day administrative and IT operations of the library. This position is essential for maintaining the seamless functioning of library services, including the management of student employment processes, equipment and conference room reservations, course reserves, circulation and reference desk operations, financial processing, equipment maintenance, and statistical reporting. The successful candidate will serve as a linchpin in the coordination of library events, outreach activities, and the maintenance of external contracts, ensuring that the library remains a well-organized, efficient, and welcoming environment for all users.

Required

  • A Bachelor’s degree, preferably in a related field.
  • Previous experience in an administrative role, ideally within a library or educational setting.
  • Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Excellent communication and interpersonal skills, capable of working collaboratively within a diverse community.
  • Proficiency in information technology and familiarity with library management systems.
  • Ability to problem-solve and adapt in a fast-paced environment.

Responsibilities:

Administrative Support:

  • Oversee the administration process for student employees, including payroll, timesheets, and other necessary paperwork.
  • Handle all aspects of invoicing, purchasing processes, accounts payable processing, and petty cash management.
  • Perform a wide range of administrative services and duties to support library operations.

Library Operations:

  • Manage reservations for conference rooms, computer labs, and equipment.
  • Assist in managing course reserves and ensure efficient operation of circulation and reference desk operations, including scheduling.
  • Guarantee the maintenance and proper functioning of all library equipment and manage external contracts with equipment vendors.
  • Monitor office supplies and manage inventory to ensure adequate supply levels.

IT Support and Reporting:

  • Respond to and initiate help desk requests to resolve IT-related issues.
  • Assist with the creation of library reports and the compilation of usage statistics to support data-driven decision-making.

Event and Outreach Coordination:

  • Assist with the on-campus coordination of library events, including logistical scheduling, catering arrangements, flyer creation, and promotion.
  • Support library outreach activities to engage the community and enhance the library’s profile.

Library Services Management:

  • Manage student holds within the Colleague system and oversee the lost/replace book process.
  • Ensure equipment is checked out and returned in accordance with library policies.
